Format & Fees


All recorded documents must meet the formatting requirements mandated by the state in RCW 36.18 and 65.04. A summary of the requirements include the following:

All pages must:

  • Be capable of producing a legible image
  • Not larger than 81/2" x 14"
  • Text at least 1/8" (about 8 point font)
  • Have legible notary seals
  • Not have anything taped, stapled, or glued to the pages

In addition the FIRST PAGE must include:

  • Margins - Minimum 3" on top and 1" on each side
  • Return address - printed top left (within the 3" margin)
  • Title - Centered, top of page, beneath top margin
  • Auditor File No. - for assignments or releases
  • Grantor/Grantee - clearly identified
  • Legal description - very brief description (plat, lot & block)
  • Parcel No. - obtained from the Assessor's office

Excise

Many documents require "excise fees" before being recorded. Take documents to the Treasurer's office (2nd floor Admin Bldg.) to determine if excise fees are appropriate. The Treasurer's office will place an excise stamp on the documents before recording.
